eClassy Teacher – Privacy Policy

1. Introduction

This privacy policy explains how eClassy Teacher (“we”, “our”, or “us”) collects, uses, and protects your personal information when you use our mobile and web applications for teachers and institute administrators.

For institutes/schools that use eClassy, the institute is typically the data controller for student and parent school data. eClassy acts as a data processor providing the platform.

2. Information we collect

• Account information: name, phone number, and email address
• Professional data: classes, students, attendance, homework, announcements, calendar, payment reminders/invoices, and institute membership
• In-app messages: parent–teacher chat and staff chat (message content and related student/class context)
• Parent contact data: parent phone numbers and link status when you invite or manage parent access (used to notify parents via the eClassy Class app)
• Device information: FCM token, platform (iOS/Android/web), and app version
• Usage data: sign-in activity and in-app notification history

3. How we use your information

• To manage classes, students, homework, announcements, attendance, calendar, and payments
• To enable secure messaging between teachers, parents/guardians, and institute staff
• To send notifications to you and, where applicable, to linked parents through eClassy Class
• To operate institute features (registration IDs, teacher approvals, subscriptions)
• To keep the service secure, reliable, and supported

4. Push notifications

• We use Firebase Cloud Messaging (FCM) for teacher alerts
• Parents receive separate notifications on the eClassy Class app
• You can disable notifications in the app (Settings) or in device system settings
• Device tokens are removed when you log out or delete/anonymize your account

5. Data sharing

• Student and parent contact information is shared only as needed for school communication between teachers, institutes, and linked parents
• Chat messages are visible only to the conversation participants (and to institute leadership roles where permitted by permissions)
• We use Firebase (Google) for authentication and messaging delivery
• We do not sell your personal data to third parties

6. Data retention and deletion

• Chat messages (parent–teacher and staff chat) are automatically deleted after 90 days
• You can delete your account from Settings → Delete account, which anonymizes your profile (name, phone, email) and permanently deletes your chat conversations and device push tokens

• Class, student, attendance, grade, and invoice records may be retained longer for legitimate school administration, accounting, or legal requirements of the institute
• You may contact support to request access, correction, or further deletion where applicable under GDPR

7. Your rights

If you are in the EU/EEA (including Cyprus), you may have rights to access, correct, or delete your personal data; restrict or object to certain processing; and request data portability where technically feasible (subject to school/legal retention needs). 8. Your responsibilities

As a teacher or institute user, you should only enter parent/student information you are authorised to use and in line with your school’s policies and applicable law.

9. Security

We use industry-standard measures to protect data in transit and on our servers. No method of transmission over the internet is 100% secure.

10. Changes to this policy

We may update this policy from time to time. The “Last updated” date at the top will change when we do.
